Part-Time Business Operations & Marketing Coordinator
Temecula, CA | On-Site | 24–30 Hours per Week
We are looking for a highly organized, resourceful, and creative individual to provide part-time business, CRM, marketing, and administrative support across several growing technology-focused business initiatives.
This is not a traditional administrative assistant role. We are looking for someone who can help keep customer activity, sales opportunities, follow-ups, marketing efforts, projects, and day-to-day business tasks organized and moving forward.
The ideal person is comfortable working independently, learns quickly, has strong follow-through, and brings a little creativity to the role.
What You'll Be Doing:
Responsibilities will vary based on business priorities and may include:
- Managing and maintaining HubSpot CRM, including contacts, companies, deals, tasks, notes, and pipeline activity.
- Helping organize sales opportunities, customer follow-ups, and business development activity.
- Creating tasks and reminders and helping make sure important items do not fall through the cracks.
- Updating customer, prospect, and partner information.
- Assisting with content marketing, including LinkedIn posts, basic marketing copy, customer communications, and sales materials.
- Helping develop simple graphics, presentations, one-pagers, or other business content.
- Supporting basic email marketing and campaign activities.
- Assisting with trade show, customer, partner, and marketing initiatives.
- Conducting online research on companies, customers, markets, products, and business opportunities.
- Preparing spreadsheets, presentations, reports, and other business documents.
- Organizing meeting notes, follow-up items, files, proposals, and project information.
- Coordinating meetings and occasional scheduling.
- Supporting special projects and miscellaneous operational needs as they arise.
Because we work across multiple growing businesses, the role will have variety. Some days may be focused on HubSpot and sales activity, while others may involve marketing content, research, presentations, or helping organize a new business opportunity.
What We're Looking For
We are looking for someone who is:
- Highly organized and detail-oriented.
- Creative and comfortable contributing ideas.
- Able to manage multiple priorities.
- Comfortable working independently.
- A strong written communicator.
- Good at following through and completing tasks.
- Comfortable with technology and learning new software.
- Able to take a loosely defined task and figure out the steps needed to complete it.
- Comfortable working in a fast-moving entrepreneurial environment.
HubSpot Experience
Experience with HubSpot is strongly preferred.
Ideally, you will be comfortable with:
- Contacts and companies.
- Deals and pipelines.
- Tasks and follow-ups.
- Notes and activity tracking.
- Lists and basic reporting.
- Maintaining clean CRM data.
Advanced HubSpot administration is not required, but you should understand how a CRM supports sales, customer relationships, and follow-up.
Marketing & Content Experience
We would also like someone with some experience or interest in content marketing and business communications.
Helpful experience may include:
- LinkedIn or social media content.
- Writing short business or promotional copy.
- Canva or similar design tools.
- Email marketing.
- Basic campaign support.
- Creating presentations or customer-facing materials.
- Website or blog content.
- Sales enablement materials.
You do not need to be a professional graphic designer or full-time marketer. We are looking for someone who has good judgment, creativity, and an eye for making business content look and sound polished.
Other Helpful Experiences:
Experience with any of the following is a plus:
- Microsoft 365 / Outlook.
- Excel.
- PowerPoint.
- Canva.
- Google Workspace.
- LinkedIn.
- Sales or business development support.
- Executive or administrative support.
- Project coordination.
- Government contracting.
- Technology, telecommunications, IoT, or enterprise sales.
You do not need experience in all of these areas.
Schedule & Location:
- This is an on-site position in Temecula, California.
- The role is approximately 24–30 hours per week, Monday through Friday.
- We are flexible regarding how those hours are structured. For example, the position could potentially be completed across three or four days per week depending on the individual's schedule and ability to support the needs of the business.
- Some availability during normal business hours will be important for meetings, customers, and time-sensitive projects.
Who Will Do Well in This Role:
This position is ideal for someone who likes variety and enjoys being the person who helps turn ideas into action.
You might receive a request such as:
“Please add these companies to HubSpot, research the right contacts, update the opportunities, and make sure the follow-ups are scheduled.”
Or:
“We need to talk about this customer success story on LinkedIn. Pull together the key points, draft something, and make it look presentable.”
Or:
“We have a meeting next week. Organize everything we have on the opportunity, prepare the materials, and make sure we know what needs to happen afterward.”
We value someone who can take that kind of direction and run with it.
